A spreadsheet is meant to be worked in — sorted, filtered, recalculated, added to. A PDF is meant to be looked at, unchanged, by everyone who receives it, on any device, regardless of whether they own a copy of Excel. Excel to PDF converts your workbook into that second kind of document: fixed pages, paginated properly across as many pages as the data needs, with columns scaled to fit and rows unable to be accidentally reordered or edited by whoever opens it next.
This distinction matters in practice more than it might seem. Send someone a raw .xlsx file and you're implicitly handing them an editable working document — they can change formulas, delete rows, or reformat cells, whether or not that's what you intended. Send the same data as a PDF and you're handing them a record: what you see is exactly what they'll see, on a phone, a different operating system, an older version of Excel, or no spreadsheet software at all. That's the reason invoices, financial statements, budget approvals, and anything with a signature line almost always go out as PDF rather than as the original spreadsheet, even when the source data lived in Excel the whole time.
Because a spreadsheet's natural shape (rows extending downward, columns extending sideways) doesn't map neatly onto a fixed page size, the harder part of this conversion is pagination — deciding where to break a 400-row sheet across multiple pages, and how to shrink or wrap 15 columns so they don't run off the page edge. This tool handles that automatically for every sheet in your workbook.
